Who we are

Information we collect

  • Enquiries: The details you submit through our contact form or send by phone, WhatsApp, or email, such as your name, contact details, and message.
  • Reservations: Information needed to check availability and arrange a stay, such as dates, number of guests, contact details, and any special requests you choose to provide.
  • Payments: Payment amount, currency, transaction reference, payment status, and reservation details associated with an online payment. See “Payments through Paystack” below.
  • Newsletter: Your email address when you sign up for updates. Our email platform, Sender.net, may also record delivery, opens, and link clicks for messages we send.
  • Website use: Technical information such as your IP address, browser type, device information, and activity needed to operate and protect the website. Cookies and similar technologies may be used for these purposes.
  • Comments: If commenting is available and you leave a comment, the information in the comment form and technical details used for spam prevention.

Please avoid including sensitive information in a general enquiry unless it is needed to assist you.

How we use your information

We use personal information to respond to enquiries, manage reservations, payments, and guest services, send updates you requested, keep the website secure and working, and meet applicable legal or recordkeeping obligations. Reservation details are needed to handle a booking; if you do not provide them, we may be unable to complete your request. Newsletter signup is optional. We use Sender.net to manage subscribers and send requested emails. You can unsubscribe using the link in an email or by contacting us.

Who may receive your information

Access is limited to hotel staff and service providers who help us operate the website, handle reservations, payments, and messages, and send requested emails. We may also disclose information where required by law or to protect the rights and safety of guests, staff, or others. We use newsletter signup details to send the updates you requested.

Sender.net processes newsletter subscriber information for us; see Sender.net’s Privacy Policy. Our booking, contact and newsletter forms use Google reCAPTCHA to help prevent spam, fraud and automated abuse. Google processes technical information on our behalf to provide this security service. If you choose to contact us through WhatsApp or social media, that service’s own privacy practices also apply.

Payments through Paystack

We use Paystack to process online reservation payments. To start a payment, we share your email address, payment amount, currency, transaction reference, and reservation identifier with Paystack. Payments are collected in Ghana cedis (GHS), even when room rates are displayed in US dollars (USD). Payment credentials, such as your full card number and CVV, are entered with Paystack rather than in our reservation form.

Paystack may process payment details, transaction information, and technical information such as your IP address, browser, and device information to complete payments, prevent fraud, handle refunds or disputes, and meet legal obligations. It may share information with banks, payment partners, service providers, or authorities where needed for these purposes. We receive payment confirmations and retain transaction references, payment status, and related reservation records to administer your booking, reconcile payments, and resolve enquiries or disputes. You can contact us using the details above about personal information we hold in connection with your booking.

Google Analytics (planned)

We plan to use Google Analytics to understand how visitors find and use the website. Once enabled, it may collect page visits, approximate location, browser and device information, and a browser identifier stored in cookies such as _ga. Google receives the measurement data. You can manage cookies in your browser or use the Google Analytics opt-out browser add-on. We will update this notice if our Analytics setup changes.

Cookies and external content

The site may use cookies or similar technologies to make pages work, remember preferences, and protect forms. Google reCAPTCHA sets a security cookie when it runs. Once enabled, Google Analytics may use measurement cookies. The Google Maps embed on our contact page, Sender.net, and Paystack’s payment pages may also use their own cookies or similar technologies. You can control cookies through your browser settings, although disabling some cookies may affect site features.

How long we keep information

We keep information only for as long as needed for the purposes described above, including responding to enquiries, administering stays, maintaining necessary booking, payment, and accounting records, resolving disputes, and complying with applicable law. When it is no longer needed, we delete it or make it anonymous where practicable.

Your choices and rights

You may ask us whether we hold your personal information and request access to or correction of it. You may also object to certain uses, withdraw consent where our use depends on consent, or ask us to stop direct marketing. To make a request, contact info@theritzzexclusive.com. We may need to verify your identity before responding. You may also complain to Ghana’s Data Protection Commission.

Security and international services

We take reasonable steps to protect personal information from unauthorised access, loss, or misuse. Some technology providers may process information outside Ghana; where that happens, we seek appropriate protections consistent with applicable law.
